Douro Valley Wedding Timeline: What to Expect From Planning to Your Wedding Day

One of the first questions couples ask us once they have chosen a quinta in the Douro is simple, but it matters more than almost anything else: what does the actual Douro Valley wedding timeline look like, from here to the day itself? It is a fair thing to wonder. You are planning a wedding in another country, often without having stood on the property yet, and the logistics can feel harder to picture than the wedding itself.

The Douro Valley wedding timeline, from booking to your wedding day

For a Saturday in high season, May through October, we usually recommend booking your quinta 12 to 18 months out. The best properties on the river hold only a handful of weekends a year, and the ones with the most striking terraces go first. Once the venue is locked in, photographer, celebrant and catering usually follow within the next three to six months, especially if you want a specific photographer whose calendar fills quickly. Around the nine month mark, most of our couples start thinking seriously about legal paperwork, and by six months out we like to have it moving. The last month before the wedding is for the details that only make sense once you can see the space in person, the seating plan, the final headcount, and a proper walkthrough with your Douro Valley wedding planner.

Where the legal paperwork fits in

This is the part of the timeline that surprises people most, because it runs on its own clock. To marry civilly in Portugal, you file at the Conservatoria do Registo Civil, and depending on your country of origin you will need documents such as a birth certificate and a certificate of no impediment, often translated and apostilled before they are accepted. Once everything is submitted, processing typically takes four to six weeks, which is why we ask couples to start well before the wedding date rather than in the final weeks. Getting guests to the Douro, and how the week actually unfolds

Most of our couples and their guests fly into Porto, which puts you about an hour and fifteen minutes by car from the heart of the wine region. Some couples put their guests up for a night or two around Vila Nova de Gaia before the wedding, close to the port wine cellars and an easy walk from central Porto, then move everyone up to the Douro together on a chartered bus or two. Others prefer to skip the city altogether and go straight up, especially if most guests are only staying for a long weekend. A handful of couples also add a welcome event somewhere unexpected, we planned a rehearsal dinner near Vila do Conde last year for a couple whose guests were arriving a day early, and it turned into one of the best nights of the whole week.

A realistic wedding day timeline

Summers in the Douro run hot, often past 35 degrees by early afternoon, so we schedule ceremonies for late afternoon, usually between 5 and 6pm, when the light softens and the terraces start to glow. Hair and makeup typically start six to seven hours before the ceremony for a full bridal party, first look and family photos happen in the two hours before, and dinner service usually begins around 8:30 or 9pm once the sun has gone down over the vineyards. It is worth remembering that this landscape is a UNESCO World Heritage site, the Alto Douro Wine Region has been protected since 2001 precisely because those terraces took centuries to shape, and it shows in every photo taken here at golden hour.
